This is what happened...
16 years ago, I started my journey in digital marketing, running campaigns for businesses that wanted more customers. Back then, I assumed that if I could just get a business more leads, they would get more customers...
But what happened next, completely confused me.
I Watched A Client Get More Leads Than Ever, And
Still Lose Money, Lose Customers, And Almost Lose The Business!
I still remember the call... a renovation company owner was spending $5,000 a month on ads.
The ads were working. The leads were pouring in.
And then he told me something that changed the way I see marketing forever:
"We spent $5,000 on ads and got 60 leads this month… but only 2 became customers. What happened to the other 58?"

I Started Digging Into Where Every Lead Went…

And then counting how many of them anyone had actually followed up with.
Less Than Half Of His Leads Had Ever Heard Back From Him!
"When I traced those 60 leads through his inbox, WhatsApp and spreadsheets, I started to see where things were breaking down.
Fewer than half had been contacted. There was no single place to see who had received a reply, who needed a follow-up, or who was still waiting to speak to someone.
An enquiry would land in one inbox. A conversation would continue on WhatsApp. A reminder to call someone back would depend on the owner remembering it while he was busy running the business.
The leads were coming in, but there was no connected process to move them towards a booking, a quote and a sale.
By the end of the month, those 60 enquiries had turned into just 2 customers. He had paid to get people interested - then lost track of many of them before a proper sales conversation could happen."

I was an ads guy. I knew how to get leads. I didn't know how to build what happens after the lead...
So I Tried To Fix It The Way Everyone Else Does...
I did what every agency does... I added more tools. A CRM here. An autoresponder there. A booking link. Another landing page.
I assumed that if I just gave the client better software, everything would sort itself out... right?
And then it happened...
The next time I checked in, the team was still managing enquiries through the same inboxes, WhatsApp messages and scattered notes.
The CRM was there, but keeping it updated was another task on an already busy day. The booking link worked, but someone still had to reply, send it and follow up when a lead didn’t book.
I’d given them more tools, but I hadn’t made the work any easier.
And when the owner asked, “Which of these leads actually became customers?” I still couldn’t give him a clear answer without piecing everything together manually.
And Then, In One Of The Most Frustrating Moments Of My Career…
Nothing Changed.
NOBODY used the new CRM.
NOBODY followed up any faster.
NOBODY could tell me which ads were actually making money.
I didn't get it... the tools were good. The ads were good. So why wasn't it working?

What Went Wrong?
So I went back and mapped the entire journey—from the moment someone clicked an ad to the moment they became a customer.
Where did the enquiry go? Who replied? What happened if they didn’t answer? Who followed up? And how did we know whether they booked or bought?
I looked at each step, then checked how it connected to the next.
That’s when the gaps became clear. We had tools for almost everything, but moving a lead between them still depended on someone remembering what to do.
